Moore has centralized facilities sourcing and construction contracting within the procurement department and emphasized a cultural shift to improve perceptions about procurement’s role. The implementation of electronic signatures through DocuSign has streamlined processes, reducing the time and complexity associated with contractual agreements.
Boston University has also adopted integrated spend management solutions through the SAP system, previously known as Ariba. This system has brought over hundreds of millions of dollars of addressable spend under contract, allowing procurement personnel to manage purchases more efficiently. The electronic catalog system enables easy ordering for employees, with almost all invoices being handled electronically, eliminating the need for human intervention. Currently, 98% of invoices are paid without manual processing, significantly expediting payments and reducing overhead costs.
Additionally, the university has harnessed the capabilities of Fairmarkit, a startup specializing in managing tail spend. Tail spend refers to low-volume, infrequent purchases, which previously represented a significant challenge for effective procurement. Fairmarkit enables streamlined supplier engagement, allowing the university to solicit quotes quickly and efficiently. The innovative use of machine learning allows the system to identify appropriate suppliers based on product descriptions, ensuring faster and more accurate procurement processes.
Furthermore, Boston University is piloting a robotic process automation solution designed to improve contract negotiations. This technology compares redlined documents, significantly simplifying the contract review process for procurement teams. Such advancements not only enhance efficiency but also promote strategic negotiation capabilities, allowing teams to focus on higher value tasks.
